Mark as "Waiting on Parts"

Open Work Order Popup

In the side panel, tap or click on "Work Orders." Select the "Assigned" or "Unassigned" tab. If you do not see the work order you want, you can search by the technician's name, vendor's name, or category. Select the correct work order in the work order table. This will open the work order popup. 

 

Select "Waiting on parts" Button

Inside the work order popup, a "Waiting on parts" button will be in the middle of the popup, next to the "No access" button. Click or tap on that button to open a new side panel.

 

Describe the Part

The side panel includes an input field where you can describe the part or parts needed to complete the work order.

Be as specific as possible for clarity and accuracy. After detailing the needed part, select the "Mark As Waiting On Parts" button. This will add a new event to the work order timeline. The event will say: "Part requested on [date of request] by [name of requester]." The "Waiting on parts" button in the popup will have the number one in a circle to indicate that this work order is waiting on one part.

 

Adding Another Request

If the work order needs more than one part, you can add a second (and third) request. You will see the previously requested part above the input field in the "Waiting on Parts" side panel.

Type in the part needed, and select the "Mark As Waiting On Parts" button. Another event will appear on the timeline, and the "Waiting on parts" button in the work order popup will indicate the new number of parts needed.

Mark as Ordered

After you actually order the item, you need to go back to the work order to "Mark as Ordered" within the work order popup. If you need to find work orders that are "Waiting on Parts," then you can go to the "Reports" section and look at the "Detail" version of the "Parts Pending" report. 

In the "Parts Pending" report, you can see which work orders need a part and which parts have been ordered. To see the work order popup, just click on the table row inside the report.

When you mark the part as ordered, the resident will receive a notification regarding the ordered part.

 

Mark as Delivered

Once the part arrives, you now go back to the work order popup and mark that part as delivered.

When you mark the part as delivered, the resident will receive another notification, letting them know that the part has come in.

 

Syncing with the Mobile Technician App

Whenever an admin marks a work order as waiting on parts, the technician will see the same information for that work order in the mobile technician app. If the information does not appear for the tech, then they might need a stronger internet connection for the two apps to sync properly. Also, technicians can mark a work order as "Waiting on parts" from within the mobile Technician App.
